Exact address, transfer tips, house rules, what to bring. Plus curated island recommendations for the first days.
Check-in instructions on arrival day
Key-safe code, self check-in video, Wi-Fi password, house rules one more time compact. No more calls after midnight.
Ecotasa reminder and receipt
Balearic Ecotasa is calculated and collected automatically. Guest gets the receipt, you have the proof for accounting.
Mid-stay check-in (optional)
On day two or three a brief note: everything ok? Catches problems before they turn into 3-star reviews.
Review request the day after departure
Friendly thank-you message with a direct link to Airbnb, Booking.com or your Google profile. Timing matters — not too early, not too late.

Three typical villa and finca setups

Professional managers with a portfolio, not single-property hosts. If you run more than five units in parallel, you save at least a day per week with this.

Finca portfolio with 5 to 15 units

You manage fincas owned by others, usually across several regions (Tramuntana, east coast, Palma outskirts). Every unit is different — pool or not, pets or not, different Ecotasa class. MallorcaStay knows each unit individually and sends the right info.

Villa management, 15 to 30 units

Bigger agency, probably already on a property management system (Smoobu, Lodgify, Hostaway). MallorcaStay sits on top as the communication layer: takes bookings from all OTAs, sends in the correct language, logs everything in the existing system.

Hybrid operations with own property plus partner units

You run your own boutique hotel or finca and manage a few partner units on the side. MallorcaStay separates the sender identity cleanly — guests in your own property see your brand, partner guests see the owner's brand.

Four steps until the flow runs

    Call

    Thirty minutes. We look at how many units you manage, which OTAs you use, which languages your guests speak, what you do manually today.

  2. 02

    Copy once per language

    One week. You give us your building blocks per language — how you write, which island tips you give, which Ecotasa rule applies. We turn this into templates that get personalised for each unit.

  3. 03

    OTA integration and test

    Two weeks. We connect Airbnb, Booking.com and your own website, test the chain with probe bookings, adjust timing and languages. Nothing goes live before at least three complete sequences have run cleanly.

  4. 04

    Launch and monthly monitoring

    The flow goes live. Monthly reports show open rates, review rate, complaint patterns. New units you add yourself, new island tips we update together every three months.

Pricing

From €1,200 one-time plus €99 per month

For up to five units. Included: template build in four languages, OTA integration (Airbnb, Booking.com, your own site), Ecotasa automation, review pipeline, hosting and maintenance. A small tier applies per additional unit. Larger portfolios from 15 units get individual quotes.

Frequently asked

Which OTAs are connected?

Standard: Airbnb, Booking.com and your own website. Optional Vrbo, Expedia and HomeToGo via iCal or API. If you use a property management system (Smoobu, Lodgify, Hostaway, Cloudbeds), we connect directly to it and you keep working there — MallorcaStay is the communication layer.

What about Ecotasa — do I pay it or does the guest?

Balearic Ecotasa is paid by the guest. MallorcaStay calculates it automatically (based on unit category and stay length), sends the guest a payment link or integrates it into the check-in confirmation. You get the receipts bundled for accounting.

Is MallorcaStay GDPR-compliant?

Yes. EU hosting, EU data, data processing agreement at setup. Guest data is used only for communication, not resold. Opt-out for marketing messages (if you add any) is included in every mail. Data deletion after departure plus statutory retention periods.

Can I change the copy myself later?

Yes. You get a simple dashboard per language. Changes apply immediately for all new bookings — running sequences are not retroactively modified. Big overhauls (new language, new OTA, new unit) we do together.

What if a guest replies?

The chain is one-way communication. If a guest replies to an automatic mail, the reply lands in your normal inbox or optionally in InselBot if you have it. Then the bot or you take over. MallorcaStay also automatically detects when a sequence should be paused because the guest has a real issue.

How long does a launch take?

Typically four to five weeks for the basic setup with five units. Bigger portfolios ten to twelve weeks, because we test unit-by-unit personalisation and OTA integration thoroughly. We work iteratively — after the first week you see a first run with a guest name.
