Setting Up an AI Server: What a Managed Service Really Means

Do I have to do it myself? No. What 'managed' means, how onboarding works, and why you don't need technical skills.

When business owners first hear about having their own AI server, they almost always ask the same question: "Sounds great — but do I have to set it up myself?" The answer is clear: No.

The Setup Process: 5 Steps

Step 1: The Discovery Call (30–60 Minutes)

Everything starts with a conversation. Not a sales pitch, but a genuine introduction:

  • What does your company do? Industry, size, focus areas
  • How do you use AI currently? ChatGPT? Claude? Not at all?
  • What tasks should AI handle? Emails, research, social media, documents?
  • How do you communicate? Formal or casual? German, English, both?
  • Are there special requirements? Data privacy, industry regulations, specific tools

By the end of this conversation, we know which package fits and how the server needs to be configured. You know what to expect and what it costs.

Step 2: The Questionnaire (15–30 Minutes of Your Time)

After the call, we send you a structured questionnaire. No technical questions — just questions about your business:

  • Company profile: Name, industry, location, number of employees
  • Products and services: What do you offer? Who are your customers?
  • Communication style: Sample emails, texts, your website — so the AI matches your tone
  • Key terminology: Industry jargon, internal terms, abbreviations
  • Tool integration: Which email provider do you use? Which calendar? Which social media channels?
  • Existing AI knowledge: If you use ChatGPT or Claude, we can transfer your existing AI knowledge

This questionnaire ensures your AI system knows your company from day one — not after weeks of use.

Step 3: The Setup (We Work, You Wait)

Now comes the part where you don't have to do anything. We:

  • Order the server in a German data center
  • Set up the AI system and configure it for your company
  • Input your company knowledge: Your products, your customers, your language, your workflows
  • Connect your tools: Email, calendar, and optionally social media and other systems
  • Set up automated processes: Daily backup, automatic repair, monitoring
  • Test everything thoroughly: Does the email integration work? Does the system know your company? Is the communication style right?

This step typically takes 5–10 business days. You'll receive a brief progress update in between.

Step 4: Handover and Training (60–90 Minutes)

Once everything is set up and tested, we hand over your system in a video call:

  • Set up access: You receive your credentials and we show you how to log in
  • First steps: We walk through the key features together
  • Your first tasks: We complete 3–5 typical tasks from your daily work together (drafting an email, starting a research task, summarizing a document)
  • Answer questions: We address anything that's unclear right away
  • Set up Telegram: If desired, we configure mobile access for you

After this training, you can start working productively immediately. For more complex tasks, you'll grow into them step by step — the system learns alongside you.

Step 5: You Work — We Take Care of Things

From now on, you use your system in daily operations. And us? We're working in the background:

  • Automatic repair: A built-in watchdog regularly checks that everything is running. Small issues are fixed automatically before you notice them.
  • Daily backup: A complete backup is created every day. If something goes wrong, we can restore yesterday's state.
  • Updates: When relevant improvements are available, we apply them — without you having to do anything.
  • Support: Question? Problem? Idea? You can reach us by email or Telegram. Response times vary depending on your package.

Let's clear up a few misconceptions:

  • No programming skills. Not a single line of code. You operate the system through conversation — like a very capable assistant.
  • No IT department. We are your IT department for this system. That's included in the price.
  • No server room. The server is housed in a professional data center in Germany. Not in your office.
  • No technical background. If you can use ChatGPT, you can use an AI server. The learning curve is gentle.
  • No ongoing maintenance. You don't have to update, back up, or repair anything. We do that.

What You SHOULD Bring

At the same time, there are a few things that significantly influence success:

  • Willingness to use the AI. An AI server is worthless if it sits unused after setup. The first two weeks are critical — use the system daily, even for small tasks.
  • 30 minutes per week for feedback. In the beginning, the system is still learning how you work. If a draft doesn't match your style, say so. The more feedback, the faster the system improves.
  • Your company data. We need information about your business to set up the system properly. The more you share in the questionnaire, the more productive your AI server is from day one.
  • Openness to new ways of working. An AI system changes workflows. Emails get answered faster. Research takes minutes instead of hours. That feels unusual at first — and then very quickly becomes normal.

"How long until I can get started?"

If you already use ChatGPT or Claude and have accumulated knowledge there, we can transfer it during onboarding. You don't start from zero. Your AI server launches with the knowledge you've already built — and can then expand it systematically.

"Can I switch if I'm unhappy?"

Yes. Your data belongs to you. If you end the service, you receive all your data. There is a minimum contract period of 12 months — that's industry standard for managed services and ensures the setup investment is worthwhile for both sides.

"Do I have to pay for an AI subscription separately?"

Yes, the AI subscription runs on your own account. We keep this deliberately separate: you pay us for the AI-Server service and the AI subscription directly to the provider of your choice. That's more transparent, more affordable, and gives you the freedom to switch providers at any time. Costs range from 10 to 200 EUR per month depending on the provider you choose.

"What does it cost in total?"

  • One-time setup: 2,000–3,000 EUR
  • Monthly service: from 999 EUR
  • AI subscription: 10–200 EUR/month (you choose the provider)

A typical setup for a small business is around 2,500 EUR for setup plus from 999 EUR per month.

What Happens After Setup
