What works: appointment booking, route info, FAQ, office hours, private-patient yes-no, doctor's languages. What doesn't: symptom assessment, diagnosis recommendation, medical advice. The EU AI Act classifies this as high-risk, with strict obligations. Our bot knows where the limit is and tells the patient clearly: 'For medical questions please speak directly to the practice team.' Legally safe, honest, no grey zone.
How we work
Four phases, clear handovers.
Each phase has a clear output and you opt out if it doesn't fit. GDPR setup and a data processing agreement (DPA) with the AI provider are standardized in phase 2, no extra effort for you.
1. Practice and specializations
We get your specializations, your team descriptions, your languages, your patient target group. If you don't have good practice photos, we organize a photographer on the island. Stock images with law-firm doctors don't go on your site.
2. Appointment flow and GDPR
Appointment booking widget integrated (Calendly, Doctolib, Cal.com or own system). EU hosting set up, data processing agreements (DPAs) signed with all services, privacy policy in line with the GDPR. Plus trilingual reception bot with clear limits (no medical advice).
3. Visibility and trust
Google Business Profile brought up to date plus Schema.org MedicalBusiness, Physician and MedicalSpecialty markup. Plus llms.txt, so ChatGPT and Perplexity can place your practice correctly when someone asks: German dermatologist Palma, English-speaking dentist Mallorca, ginecóloga Palma.
4. Recall and review loop
Patient recall for preventive appointments (GDPR-compliant with opt-in, six-monthly dental cleaning, annual skin checks). Plus automatic review reminder 24-48 hours after treatment with direct link to Google or jameda, opt-out safe, not pushy.

A visitor on Mallorca asks ChatGPT for an English-speaking dermatologist on the island. Our Schema.org markup plus llms.txt lays out your practice's address, specializations, languages, reviews and booking link so the AI can read them cleanly. Anyone who comes through an answer lands directly on your booking page.
Recall for six-monthly dental cleaning
Patient was at dental cleaning in November. In May the system automatically sends a short reminder with two appointment proposals in their language. Opt-in signed at first visit, GDPR-compliant. Patient books or postpones with one click. Practice has plannable occupancy instead of daily cold acquisition.
Multilingual FAQ without phone stress
Private patient asks before first visit whether you take self-payers, whether you speak English, where to park, whether you bill GOZ or GOÄ. Bot answers immediately with standard answers in the respective language. Practice reception has 30 percent fewer calls for standard questions.

Am I allowed to use an AI chatbot as a doctor?
Yes, for routine tasks. The German Association of Statutory Health Insurance Physicians (KBV) clarified this in May 2025 PraxisWissen guidance: appointment booking, route info, FAQ, office-hours info are allowed. What doesn't work: symptom assessment, diagnosis recommendation, medical advice. The EU AI Act classifies this as high-risk, with strict obligations. How fast can I offer online appointments?
If you use a booking system (Doctolib, Calendly, Cal.com, practice-own tool), we integrate it as a widget into the website, typically live the day after practice onboarding. If you don't have one yet, we consult and set up the right kit. Goal: patients from DACH can book a Mallorca-holiday appointment from the living room at 10 pm without anyone being on your phone.
How does GDPR work with an AI-equipped practice website?
Health data is a special category of personal data under Art. 9 GDPR. Concretely: all data processed on EU servers (Hetzner Falkenstein or Nuremberg typically), no US host for contact form data, a data processing agreement (DPA) signed with each AI provider, and the transparency note on the website explicitly names AI use. That's standard with us, no extra effort for you. Plus: for bigger AI functions we do a data protection impact assessment (DPIA) together with you.
Does my practice website need to be accessibility-compliant?
The German Accessibility Strengthening Act (BFSG) has applied since June 28, 2025 for online services, including online appointment booking. BUT: micro-businesses with fewer than 10 employees and under EUR 2 million annual revenue are exempt. Most 1-5-doctor private practices fall under this exemption. We still build accessibility-friendly, ARIA labels, keyboard navigation, high contrast, screen-reader compatible, because accessibility-friendly sites are read better by AI systems and address more patients. But we don't advertise 'BFSG-compliant' if you fall under the exemption, that would be misleading.
